Behind the Scenes of a PR Event! Following a First-Year Employee!

Hello! I’m Ikuta from the SUNNY SIDE UP GROUP Public Relations Department.Today, I would like to give you a brief introduction to the work we do at SUNNY SIDE UP.

I, Ikuta, actually went undercover at a certain PR event.Ta-da!

The event was “Tokyo Toy Show 2022”!!

SUNNY SIDE UP was in charge of the PR for the opening ceremonyheld at the “Bandai / BANDAI SPIRITS Booth” during this event.

This time, we conducted an exclusive close-up report on the work of a PR professional at a PR event!

The person we are following is Miyuu Ogawa, a first-year employee!

A fresh first-year who joined SUNNY SIDE UP this spring as part of the class of 2022.

She belongs to the Media Unit, Group 2, Department 3, Division 2.

SUNNY SIDE UP has a dedicated media relations team called the “Media Unit.” The team shares the latest media information internally to efficiently secure coverage. In this expert team, she has been working diligently for about five months since joining the company.

At event sites, SUNNY SIDE UP usually participates in the capacity of “PR Supervisor.” We collaborate with clients, production companies, and casting agencies. As PR professionals, we handle on-site adjustments to event content and progression, as well as media relations, while maintaining a dual perspective: how to deliver the client’s message and what kind of content the media wants to cover and report. We assign roles and positions within the team and communicate to ensure the event proceeds smoothly and speedily, with everyone coordinating closely.

This time, we would like to focus on Ogawa, who was in charge of “Media Relations” at this event.

Let’s head to the booth right away.And there is Ogawa at the reception desk!

On-site Task #1: Reception Desk

First, we handle the reception for visiting media and filming staff. By checking against the list of media who confirmed their attendance and handing out press stickers and press kits, we support smooth operations as the face of the event entrance!

On-site Task #2: Guiding Media to Press Positions

And there are many media outlets at this site!

Adjusting the camera positions for the visiting media is another important task for the media representative.

On this day, while listening to the requests of TV directors and camera operators, she provided support to ensure the media could capture the best shots and guided them to their respective camera positions.

On-site Task #3: Learning the Ropes from Senior Members

Beside Ogawa was a senior OJT (On-the-Job Training) member who she usually works with.They proceed while carefully confirming every movement on-site.

Experienced veteran members serve as overall supervisors!In large venues, we constantly coordinate via transceivers,working as a team to ensure the success of the event.

On-site Task #4: Media Briefing

Before the event starts, we announce technical checks such as microphone tests and white balance adjustments for the media, as well as precautions regarding the event.

On-site Task #5: Creating Event Reports

Once the media are in their positions and the briefing is finished, the event finally begins!For this opening ceremony, the couple Taiyo Sugiura and Nozomi Tsuji appeared as guests.

As soon as the event started, Ogawa began writing something…

Yes, this is also an important task called “comment taking.” After the event, we distribute a document called an event report, mainly to media outlets that could not attend. It seems she is taking notes to include in that report!

She takes detailed notes on everything from the guests’ attire and appearance to their specific remarks!

Finally, an Introduction to the Actual Event Content

For this event, Bandai Co., Ltd. and BANDAI SPIRITS Co., Ltd. exhibited a booth with the theme “HISTORY and FUTURE” at “Tokyo Toy Show 2022,” which was held for the first time in three years. The opening ceremony was held on the first day, Thursday, June 16.

Mr. Sugiura, who appeared on stage, starred in “Ultraman Cosmos” broadcast in 2001, and Ms. Tsuji made her entertainment debut as a 4th generation member of “Morning Musume,” which debuted the same year as “Tamagotchi (born in 1996)” and celebrates its 25th anniversary this year. Both guests have very deep ties to Bandai and BANDAI SPIRITS.

The ceremony proceeded smoothly, and once the event concluded, the on-site duties ended after guiding the media to the exit.Ogawa looked relieved to see articles published by many wonderful media outlets.
